SIS Head of School Roles (Kazi za Mkuu wa Shule)

A: School Management

Here the head of school perform the following activities.

1. Set Up a School

Here the Head of school is required to select SECTION e.g. O’Lvel or A’Level then to select CLASS e.g Form One, Form Two etc Then Perform the following activities

SIS Set Up a School

i. Streams and Students – the head of school to create streams and Put students on those classes. You can create and give your own names for the created streams.

ii. School Subjects – the head of school select subjects that students study for the whole school

iii. Class Subjects – here the head of school map (put) subjects to the particular class

iv. Staff Subjects – here the head of school assign subjects for the teachers to teach

v. Class Teachers – here the head of school assigns class teachers for streams created

vi. Leave Roster – here the head of school create leave roster for the teachers including starting date and end date

vii. Examination – here the head of school create a schedule for examinations for the school e.g. Monthly test, midterm test, terminal exam, annual exam, joint exams, mock exams, prenecta exams etc.

viii. Administration – here the head of school assign administration role to the staffs (teachers) such as

  • Head of School
  • Assistant Head of School
  • Academic Teacher
  • Discipline Teacher
  • Statistics Teacher
  • Mentor Teacher
  • Guidance and Counselling Teacher

2. Manage Students

Here the Head of school is required to select SECTION e.g. O’Lvel or A’Level then to select CLASS e.g Form One, Form Two etc Then Perform the following activities

SIS STUDENT REGISTRATION

i. New Registration – here the head of school is responsible to register new student who is not on the system. Also you can Synchronize students from PREMS

ii. Registered – here the head of school is able to view and see registered students for his/her school

iii. Transfer – here the head of school can transfer or receive students

iv. Dropout – here the head of school view and see the students who left school. Also the head of school can bring back to school the dropped student

v. Guardian – here the head of school view and see guardian information. Also you can add or edit parents information.

3. Manage Staff

Here the Head of school is required to Perform the following activities

SIS ADMISION

i. Registration – here the head of school can add new teacher including parttime teachers, edit teachers information, transferring of teachers and to mark exit for the retired teacher and part time teachers who completed their contract.

ii. Attendance – here the head of school mark the teachers attendance for those who are present at school for a particular day

iii. Incoming Transfer – here the head of school view and see teachers who transferred from the other school to his/her school

iv. Outgoing Transfer – here the head of school view and see teachers who transferred to the other school

v. Leave Management – here the head of school confirm Leave Roster Details for his or her staff for example Annual, Maternity Leave, Maternity Leave Twins, Paternity Leave, Retirement Leave, Sick Leave and the select the name of the teacher

4. Student Admission

Here the head of school Admit student (Dahili) who have been allocated by TAMISEMI, this is done for form one or form five by click the word admit

5. Timetable Periods

Here the head of school Manage Periods for Stream Timetables by Selecting SCETION e.g. O’Level or A’Level, then Select Class e.g. Form One, Form Two, FORM Five etc.,  then Select Stream AFTER THAT Filter Periods by Day (Choose the day) then Create Period for Stream by clicking +ADD

  • Health – Health care available at school
  • Internet – Type of Internet available and used at school
  • Toilet – Types of Toilets Available in Schools

Here the head of school perform the following activities

i. Books Tracking – here you will find

  • Book Registration – Register new books with details like title, author, ISBN, and classifications.
  • Inventory Transactions – Manage stock movements: add, receive, and remove books with full audit trail.

ii. Furniture Tracking – here the head of school fill all school furniture including:-

  • Beds
  • Dining Chairs
  • Dining Tables
  • Kasiki (Strong Room)
  • Laboratory Chairs
  • One Student Desk

iii. Infrastructures Tracking – here the head of school Create Infrastructures Tracking for the school like:-

  • Administration Block
  • Agriculture And Food Processing
  • Agriculture Laboratory
  • Automotive Workshops (Motor Vehicle Mechanics And Auto Body Repair
  • Basketball
  • Biology Laboratory

iv. Equipments Tracking – here the head of school perform the following activities

  • Ladder with Slider side
  • Bell balls
  • Footballs
  • Computer
  • Deck/DVD Player
  • Assistive Technology for People with Special Needs etc.

SIS INVENTORY

C: USER MANAGEMENT

Here the head of school will click on user management then User list where he/she can Manage Users provide role to the teachers. Also it is at this part where the head of school can reset password of users (teachers). The Head of school may assign the following role to the user (teacher):-

  • Sports and culture teacher
  • Statistics teacher
  • Health, hygiene and environment
  • Project teacher
  • Storekeeper
  • Food and nutrition
  • Finance teacher
  • Librarian
  • Academic teacher
  • Laboratory technician
  • Class teacher
  • Head of school
  • Guidance and counseling
  • Subject teacher
  • Nurse

SIS USER MANAGEMENT

D: DEWS – Dropout Early Warning Sign

It is the part where the teacher will be able to see students with dropout indicators for monitoring. The system identifies

  • Prospects – students with absenteeism or poor performance and
  • Candidates – students proven to be at risk of dropping out.

The teacher can take immediate action to help the student. The main goal of DEWS is to ensure that every student remains in school and reduce the problem of absenteeism and dropout.

To preview the report, navigate through the tree structure to the desired location, select the report category, click on the desired report, then choose the filter parameters on the right side and click “PRINT REPORT” button.
